Re-use of public sector information (RPSI) statement

This statement sets out the functions carried out by Derbyshire Record Office and what information is available for re-use under the Re-Use of Public Sector Information Regulations 2015.


The public task

Derbyshire Record Office collects, preserves and makes accessible historic archive collections relating to Derbyshire and the city of Derby, and local history resources relating to Derbyshire. You can find more information about the collections we hold.

Derbyshire Record Office is a Derbyshire County Council service and provides the archives service for Derby City Council under a service level agreement. Our archive functions are carried out under the following legislation:

  • Local Government (Records) Act 1962
  • Local Government Act 1972
  • Public Records Acts 1958 and 1967
  • Parochial Registers and Records Measure 1978
  • Manorial Documents Rules 1959
  • Public Libraries and Museums Act 1964

Derbyshire Record Office creates, holds and uses documents within its public task for the purposes of:

  • accessioning and cataloguing archive and local studies collections
  • preserving archive and local studies collections
  • providing reasonable facilities on-site and remotely for the public to view and obtain copies of items in the collections

Information products outside our public task

Not everything that Derbyshire Record Office does falls within our public task. For example, we carry out work under contract, through organisations paying for hire of our staff's knowledge and expertise. Other people or organisations might also commission or fund the digitisation of material in our collections, in partnership with Derbyshire Record Office, to widen access and/or achieve a commercial return.

The following information products are therefore outside our public task:

  • digital images of our collections, created or funded by others for commercial purposes
  • digital images of our collections, created or funded by others to widen access
  • documents commissioned and funded by others

Information available for re-use

You can see, copy and re-use information created by Derbyshire Record Office as part of our public task (for example, catalogues, indexes, policies and procedures) free of charge, provided it is not subject to data protection restrictions, freedom of information exemptions or a third-party agreement.

You can copy and re-use items from our collections as long as this falls within our public task and is permitted under copyright and Data Protection legislation. You can find further information about our services and copying charges.
